Website visit tracking

Every link you send through OctoFlow already reports opens and clicks. Add one script to your company website and each rep also sees which pages a prospect reads after clicking, page by page with times, on that prospect's contact card and in Analytics.

Sending leads in from another tool? See the Leads API guide.

1Add the script to your website

Paste this line into every page of your site, ideally in the shared template or footer, the same place a Google Analytics tag goes. Any website works, static or single page.

<script src="https://www.octoflowus.com/of-visits.js" defer></script>

2Send links the way you already do

Nothing changes for reps. When a prospect clicks a link to your website from an email sent through OctoFlow, the link carries a token that names that email. The script keeps it in the visitor's browser for 30 days, removes it from the address bar, and reports each page view back to the rep who sent the email.

It applies to the website that matches your work email domain and its subdomains: a rep at acme.com sees visits on acme.com and docs.acme.com. Links to other sites report the click only.

3Read the trail on the contact card

Open the prospect on your mind map. Under Email Opens, Clicks, and Site Visits, a Visited chip shows how many pages they read; expand it for each page and time. Analytics shows the same per email.

What it records: the page path, the page title, and the time. What it does not: the visitor's name, device, or anything outside your website. The token identifies the email, not the person, so a forwarded email attributes visits to the original contact. Mention the tracker in your website's privacy policy, as you would any analytics tag.

Connect your CRM

Two CRMs, two short setups.

Pick the one your team uses. Either way your accounts and contacts build the map and everything you log flows back.

Setup Guide

Connecting OctoFlow to HubSpot

Takes about five minutes and works with any HubSpot tier, including free accounts. Once connected, your HubSpot companies and contacts build your mind map for you, everything you log in OctoFlow appears on the right contact timeline, and new accounts and contacts you add in OctoFlow are created in HubSpot automatically.

1Create a Private App in HubSpot

A Private App gives OctoFlow its own key to your HubSpot account. You stay in control and can revoke it at any time.

  1. In HubSpot, click the gear icon to open Settings.
  2. In the left sidebar choose Integrations → Private Apps.
  3. Click Create a private app.
  4. On the Basic Info tab, name the app OctoFlow. A logo and description are optional.

2Add the five scopes

Scopes control exactly what OctoFlow is allowed to do. On the Scopes tab, click Add new scope and select these five:

Selected scopes+ Add new scope
crm.objects.companies.readDelete
crm.objects.companies.writeDelete
crm.objects.contacts.readDelete
crm.objects.contacts.writeDelete
crm.objects.owners.readDelete

Your Scopes tab should look exactly like this before you continue.

The read scopes let OctoFlow pull your companies and contacts onto the map. The write scopes let it log your activity to timelines and create the records you add in OctoFlow. The owners read scope lets HubSpot show that activity as assigned to you, so it appears in your team's per-rep sales reports. Skip the Webhooks tab entirely, OctoFlow does not use webhooks.

3Create the app and copy your token

  1. Click Create app in the top right and confirm.
  2. On the app page, open the Auth section, click Show token, then Copy.
Treat your token like a password. It starts with pat-na1-. OctoFlow stores it securely on our servers only. It is never kept in your browser or extension, never shown to anyone, and only ever used to talk to HubSpot on your behalf.

4Connect inside OctoFlow

  1. Sign in at app.octoflowus.com.
  2. Open Settings → Integrations and click Connect on the HubSpot card.
  3. Paste your token and connect.

The Chrome extension picks up the connection automatically. There is nothing to configure on the extension side.

5Pull your CRM onto the map

Click Pull from HubSpot and choose whether the import builds a brand new mind map or adds to one you already have. Companies become account bubbles and their contacts nest underneath with names, titles, emails, and phone numbers filled in. Pulling again later is always safe, existing contacts are matched and never duplicated.

6Work normally, HubSpot stays current

You do this in OctoFlowHubSpot shows
Log a Call, with an optional outcome and notesA logged call with the outcome (Connected, Left voicemail, No answer, Busy, Wrong number) and your notes
Log an Email, with optional notesA logged email on the timeline
Log a Meeting, edit it, or delete itA meeting that updates or disappears to match
Log a LinkedIn touchA LinkedIn message entry on the timeline
Log a Network connectionA note on the timeline
Add an account with a company domainA new company, or a link to the existing one with that domain
Add a contactA new contact, associated with the right company and matched by email so nothing duplicates

Two switches in Settings → Integrations keep you in control on both the web app and the extension: Push activity to HubSpot, and Create accounts & contacts in HubSpot. Disconnect removes your token entirely, and deleting the Private App in HubSpot revokes access instantly.

7Troubleshooting

  • An error mentions a missing scope: open your Private App, add the scope it names on the Scopes tab, and save. Scope changes apply to your existing token immediately, no reconnect needed.
  • Activity is not reaching a timeline: OctoFlow links contacts by HubSpot record or email. Give the contact an email that matches a HubSpot contact, or run a pull so records link up.
  • A new account did not appear in HubSpot: company creation needs a company domain. Edit the account and add its domain.
  • Anything else: reach us at support@octoflowus.com and we will get you sorted.

Connecting OctoFlow to Salesforce

Nothing to create and nothing to paste. You sign in to Salesforce with your own user and allow OctoFlow, and from then on your Accounts and Contacts build your mind map, every touch you log lands on the contact as a Salesforce activity owned by you, and accounts and contacts you add in OctoFlow are created in Salesforce. Works with any edition that has API access, including sandboxes.

1Connect inside OctoFlow

  1. Sign in at app.octoflowus.com.
  2. Open Settings → Integrations and click Connect on the Salesforce card.
  3. Tick the sandbox box if you are connecting a sandbox org, then click Connect Salesforce.
  4. Sign in to Salesforce and click Allow. You land back in Settings with the card showing Connected.

OctoFlow asks for API access and a refresh token only. The grant is tied to your own Salesforce user, so everything OctoFlow writes is owned by you and shows up in your team's per rep reports without any extra setup. The Chrome extension picks the connection up automatically.

2Pull your CRM onto the map

Click Manage, then Pull from Salesforce, and choose whether the import builds a new mind map or adds to one you already have. Accounts become account bubbles with their website domain and billing city carried along, and their Contacts nest underneath with names, titles, emails and phone numbers filled in. Pulling again later is always safe, existing records are matched and never duplicated.

3Work normally, Salesforce stays current

You do this in OctoFlowSalesforce shows
Log a Call, with an optional outcome and notesA completed Task of type Call on the contact and its account, with the outcome as the call result and your notes
Log an Email, with optional notesA completed Task of type Email
Log a Meeting, edit it, or delete itAn Event that updates or disappears to match
Log a LinkedIn touch or a Network connectionA completed Task that says so in its subject
Add an accountA new Account, or a link to the existing one with that website domain
Add a contactA new Contact under the right Account, matched by email so nothing duplicates

Two switches in Settings → Integrations keep you in control on both the web app and the extension, Push activity to Salesforce and Create accounts & contacts in Salesforce. Disconnect revokes the grant at Salesforce and removes it from OctoFlow. You can also revoke it from Salesforce under your personal settings, Connected Apps.

4Troubleshooting

  • Salesforce says the app is blocked or needs approval. Your admin controls which connected apps users may authorize. Ask them to allow OctoFlow for your profile, then connect again.
  • Connect works but every sync fails. Your Salesforce user needs API access, which some editions and profiles leave off. Your admin can turn it on for your profile.
  • Activity is not reaching a contact. OctoFlow links contacts by Salesforce record or email. Give the contact an email that matches a Salesforce Contact, or run a pull so records link up.
  • The card says Connection expired. The grant was revoked in Salesforce or your password changed. Click Connect to sign in again.
